The following outlines the responsibilities of the Administrative and Finance Services Office:

1. Provides Leadership of the University administration.

  • Developing plans to integrate and coordinate activities.
  • Strive to maintain the highest standards of integrity, accuracy, and transparency in all our financial and administrative processes.
  • Involve overseeing the efficient management of the institution's administrative and financial operations. This includes ensuring smooth communication between various departments, maintaining accurate financial records, and implementing effective cost-management strategies.

2. Oversees administrative operations including records, procurement, facilities, and employee relations, implementing university policies and preparing reports for the Administrative Services Division.

  • Developing and implementing strategies to achieve organizational goals by efficiently managing administrative services.
  • Monitoring the performance of administrative services, setting performance standards, and taking corrective actions when necessary.
  • Facilitating effective communication within the department and with other departments to ensure seamless operations.
  • Managing the allocation of resources, such as personnel, budget, and equipment, to support the efficient functioning of administrative services.
  • Identifying and addressing issues within the department, and finding solutions to improve efficiency and productivity.
  • Ensuring that administrative policies and procedures are implemented and followed by the team members.

3. Plans and coordinates the conduct of in-service training, seminars, and workshops on administrative matters and performs such other duties and responsibilities as may be assigned by the Campus Director.

  • Organizes and oversees professional development opportunities, including in-service training, seminars, and workshops, focusing on administrative aspects. Additionally, they may be assigned other tasks by the Campus Director. This role ensures continuous improvement and growth in administrative skills for the campus community.
  • Develop and implement training programs: This involves identifying the specific administrative skills and knowledge that employees need to enhance their performance and designing training programs accordingly.
  • Coordinate with training providers: Collaborate with external training providers, institutions, or experts to organize workshops and seminars that cater to the organization's administrative needs.
  • Budget management: Manage the financial aspects of organizing and conducting training programs, including allocating resources and monitoring expenses.
  • Collaborate with other departments: Work closely with other departments, such as Human Resources and Management, to ensure that the training programs are tailored to the organization's specific needs and address any emerging administrative challenges.

4. Consultation regarding Admin. & Finance Services inquiries.

  • Information Gathering: collecting relevant information about administrative and financial processes, policies, and procedures. This information is crucial for decision-making and problem-solving.
  • Resource Allocation: Ensuring that funds are used optimally for various administration and financial activities.
  • Strategic Planning: Developing long-term plans and strategies for administrative and financial growth and sustainability.
  • BProblem Solving: Identify and address complex issues related to administration and finance, offering practical solutions to overcome challenges.
